Changing the family car looks like an afternoon at the dealership. In reality there are steps before, during and after: preparing the car and documents, sorting out insurance, closing the old car's deadlines and setting up the new one's. Forgetting one can mean paying tax you didn't owe, or driving with insurance that doesn't cover the right car.

This article gives organisational tips. Transfer of ownership, registration paperwork, vehicle tax and insurance follow precise rules that vary by country and change over time: check official sources, the dealer and your insurer.

Before selling

The maintenance history

A used-car buyer wants to know whether the car was looked after. A complete history — services, tyres, repairs, with dates, mileage and invoices — is the most convincing argument, and can make a difference to the price. If you've recorded jobs in KidBox's Vehicles section with receipts attached, preparing paperwork for the buyer takes minutes. More in maintaining the family car.

Documents

Gather the vehicle's documents: registration, ownership certificate, latest inspection, road tax receipts, service book, invoices. Photographed copies in the family documents, linked to the car's record, are handy when the buyer or an agency asks for them.

The car

A thorough clean, small defects fixed if worthwhile, spare keys found. And every personal item removed: car seats, toll tags, the contents of the glovebox.

During the sale

  • Private buyer or dealer: with a dealer the paperwork is often handled for you; between private parties, transfer of ownership must be done in the required way and time
  • Traceable payment and documents signed before handing over the car
  • Date and time of handover noted: from then on the car is no longer yours, including for fines and liability

Insurance

When you sell the car, the policy doesn't pass to the buyer: it can usually be transferred to the new car, suspended or cancelled, depending on the contract. Contact your insurer before handover, so the new car is covered from day one and you keep your no-claims record.

After the sale: close and reopen

The old car

  • keep proof of the transfer in documents
  • remove the old car's road tax, insurance and inspection deadlines from the calendar and the vehicle record, so no pointless reminders arrive
  • the job history and expenses stay: they're the record of what the car cost you

The new car

  • create the new record with registration, model and mileage
  • add the deadlines straight away: insurance, road tax, and the first inspection date
  • photograph the new car's documents
  • update the emergency sheet with policy and assistance details

In short

Before selling: a complete history with invoices, documents gathered, car prepared and emptied. During: traceable payment, documents signed and handover noted. Insurance sorted before handover. After: proof of transfer kept, the old car's deadlines closed and the new one's set up straight away. You don't change cars often. Best not to forget anything.
